Job Summary:
Represent the practice/hospital in all facets of patient services, which may include, but is not limited to; greeting patients, answering the telephone, scheduling appointments, maintaining patient records and coordinating patient flow.
Qualifications:

Greets visitors entering the practice/hospital.
Assists patient owners by escorting them to exam rooms or directing them to the products or services needed.
Answers telephone, routes calls, provides information, and takes messages in accordance with practice/hospital procedures.
Schedules patient appointments. Manages the daily, weekly, and monthly calendar.
Receives, sorts, and distributes incoming mail. Prepares and posts daily outgoing mail.
Establishes and maintains patient files and records, as necessary.
Reconciles financial records by receiving and recording client payments.
Prepares correspondence, memos, condolence letters, and other documents, as requested.
Uses computer, fax, or courier service to transmit information or documents when requested.
Provides assistance to all practice/hospital staff and assists with special projects, as needed.
Answers questions and resolves complaints.
Advises patient’s owner regarding vaccinations, vaccination history, heartworm tests, and fecal tests.
Maintains stock of brochures, handouts or other informative documents and provide to owners when needed.
Supplies vaccination schedules, rabies tags/certificates, and pre/post surgery instruction sheet to patient owners as directed.
Conducts heartworm/fecal tests as needed and records results.
Prepares medicines and prescription diets for patient owners to pick up.
Ensures all supplies are well stocked.
Keeps the front desk, reception areas, and exam rooms clean. Organizes magazines to keep current and neat. Waters and fertilizes plants.
Performs necessary duties associated with checking owners and patients in and out.
Updates current personal information and weighs patients upon check-in.
Calls clients the day before to remind them of a scheduled appointment time.
Phones clients the day after treatment, surgery, or hospital release to ascertain the status of the patient.
Escorts and assists owners to their cars, as needed.
Knowledge/Skills/Abilities:
Knowledge of practice/hospital reception procedures.
Knowledge of English composition, grammar, spelling, and punctuation.
Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Veterinary Practice Management software).

Recently, we have been experiencing more and more push back from clients regarding our mask and hand sanitizing policy. Regardless if you have been vaccinated, and despite a majority of our staff being vaccinated, this policy remains in place and will until further notice. If you cannot appropriately wear your mask or refuse to do so, you will be asked to wait outside during your entire visit. If you become aggressive about it; you will be asked to take your business elsewhere. We don't need to be called names or experience rude and aggressive attitude about our policy. All our employees have had to wear a mask during their entire shift since March 2020. It is what we are doing to keep our staff and other clientele safe. Mask wearing policies are not novel either; all businesses following the law require them.
We want this pandemic to be over as much as everyone else, and this is how we do it. Stay safe and stay healthy.
